Accounting Assistant
Reports to: Controller
Supervisory Responsibility: None
Position Classification: Full, Part Time or Internship Available, Non-Exempt, Hourly
Position Description: Finance position with focus on accounts receivable and accounts payable
Position Skills & Qualifications: Bookkeeping or other accounting experience
1-3 years’ work experience
Computer proficiency
Detail oriented
Critical thinking skills with focus on efficiency
Strong organizational and time management
Excellent verbal and written communication
Mission driven and team oriented
Bilingual (English and Spanish) preferred, but not required
Specific Duties and Responsibilities:
· Accounts Receivable:
o Invoicing of recipient and partner accounts
o Posting and reconciliation of recipient payments, recipient contributions, and partner payments
o Responsible for daily processing and reconciling of credit card payments
o Support monthly collection efforts
o Work with recipient team to assure Long Term Care/Med Waiver recipient account authorizations are current
o Monthly claim filing and related follow up with insurance companies for recipients served through Long-term care/Med Waiver acc
· Accounts Payable:
o Review of weekly payables to assure proper approvals and GL coding
o Preparation of weekly payable packet and input into QuickBooks
o Run weekly checks, obtain necessary signatures and mail
o Utilize “Positive Pay” banking system
o Monthly review of vendor statements
o Maintain electronic vendor files
o Responsible for office credit cards (Director VISA’s, Sam’s Club and Home Depot) are properly documented, approved and paid in a timely fashion.
· Financial:
o Responsible for making all bank deposits (remotely or in person) in a timely manner.
o Maintain Petty Cash, Gift Cards, Office Stamp inventory, accounting for and monitoring usage
o Maintain electronic accounting records
· General:
o Assist with fielding daily office calls regarding daily meal delivery, volunteer issues and general inquiries
o Maintain a working knowledge of all office software; QuickBooks, SERV tracker, eTapestry
o Assist with at least 3 POW (Produce on Wheels) events per year held the third Saturday of the month
o Be a positive team member for MOW and actively participate in MOW functions as requested
o Other duties as assigned
