Development Assistant/Database Manager

Job Outline: The Development Assistant/Database Manager directly supports the administrative efforts of the Director of Development and other members of the department. This position also serves as the overall manager of the Raiser’s Edge (RE) database, ensuring constituent records are entered and updated properly. This person also provides back-up support to the Development Support Specialist. This full-time, year-round position reports directly to the Director of Development. Some nights and weekends are required.

Primary Responsibilities:

Development Support

  • Provide administrative support to the Director of Development including drafting and editing of letters and presentations, notes of achievement, scheduling, and calendar management and general reception.
  • Review capital campaign pledges monthly and send reminders as needed.
  • Reconcile the department credit card statements monthly.
  • Coordinate weekly staff meetings and record minutes.
  • Manage bulk mail account.
  • Initiate purchases and facilitate requisitions as needed for the department.
  • Export giving data at the end of each fiscal year for creation of President’s Annual Report.
  • Order office supplies for department as needed.
  • Assist in other development activities and events as assigned.

Database

  • Primary contact for additions or updates in Raiser’s Edge including addresses, marriages, births, deaths, etc.
  • Coordinate data flow between development office and other departments including annual import of new parent, new student, and alumni information.
  • Maintain database policies and procedures.
  • Reconcile all gifts monthly with the Finance Department.
  • Assist the Development Support Specialist with gift processing or event registration as needed.
  • Generate constituent or giving reports as needed.
  • Manage returned mail process.
  • Conduct periodic data health maintenance and database projects as needed, including regular updates of constituent addresses in Raiser’s Edge.

Knowledge and Skill Requirements

  • Raiser’s Edge experience preferred. Proficiency in Microsoft Word, Excel, and PowerPoint required.
  • Excellent organization and information management skills, including strong attention to detail.
  • Ability to work independently.
  • Knowledge of general accounting principles and business communications.
  • Strong written and verbal communications skills.

Additional Requirement

  • Successful completion of Level II Background Screening.
