Position: Readers in Motion Program Assistant

Are you organized, driven, and bilingual in Spanish and English? Do you love supporting a mission that truly changes lives? We’re looking for a passionate Program Assistant to join our dynamic Readers in Motion team at Seniors in Service of Tampa Bay.
You’ll help power a literacy movement that connects volunteers to students in grades K–3 who need extra reading support. You’ll be the glue that keeps operations running smoothly, making sure volunteers feel confident, schools are supported, and children stay on track.

What You’ll Do:
• Take ownership of program tasks and keep operations running smoothly, ensuring deadlines, goals, and compliance requirements are met.
• Support the success and satisfaction of volunteers, students, and school sites by assisting with daily communications, logistics, and coordination.
• Enter and manage program data in systems like CATS, NewOrg, and Prime Pay, including tracking volunteer hours, student records, school sites, reading logs, and child care plans.
• Maintain complete and accurate records for volunteer eligibility, background screenings, timesheets, PTO requests, and other documentation required by funders and partners.
• Help schedule and document volunteer performance reviews and satisfaction surveys to ensure ongoing improvement and recognition.
• Assist in compiling timely and accurate data for quarterly, annual, and program reports.
• Prepare materials and provide logistical support for orientations, in-service trainings, and other volunteer engagement activities.
• Help manage and organize educational inventory, ensuring supplies are available for program success.
• Assist with pick-up and drop-off of reading materials and supplies to schools and volunteers (some events may take place after hours or on weekends).
• Design flyers, reading activity flyers, and other program materials using Canva or similar platforms to help inform, inspire, and engage.
• Collaborate with internal departments such as accounting (billing, payroll) and development (testimonials, stories, outcomes) to ensure seamless operations and impactful storytelling.
• Support relationship-building efforts with schools and community partners by maintaining clear, respectful communication and assisting with events.
• Step in wherever needed-bringing initiative, reliability, and a commitment to teamwork and mission.
What You Bring:
• Bachelor’s degree or at least 2 years of experience in human services, volunteer coordination, or program support.
• Bilingual in Spanish and English (required).
• Strong data entry and database skills (experience with NewOrg, CATS, Prime Pay is a plus).
• Detail-oriented with strong organizational and time management skills.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint), Zoom, and email communication.
• Clear, compassionate communication skills—written, verbal, and interpersonal.
• Ability to stay organized and proactive in both independent and team settings.
Additional Requirements:
• Valid driver’s license and reliable transportation.
• Ability to travel to various school and event sites in the community.
• Willingness to work occasional evenings or weekends for special events.
• Must pass a Level II background screening.
• Ability to lift up to 40 lbs and perform standard office and field tasks (sitting, standing, walking, typing, etc.).
